Terms and conditions

Last updated 23 October 2026

These terms apply when an organisation ("you") uses SmartLedger, provided by Smart Ledger ("we"). By registering or using SmartLedger you agree to them on behalf of your organisation.

1. The service

SmartLedger is online accounting and financial management software for nonprofit organisations. The features available depend on your plan. We may improve and change features; we will not remove a core feature of a paid plan during a paid period without notice.

2. Accounts

You are responsible for the people you give access to, the roles you give them and keeping passwords secret. Tell us promptly if you suspect unauthorised access.

3. Free trial

New organisations get a free trial for the period shown on the pricing page. No payment details are needed. At the end of the trial and any grace period, the account becomes read-only until a plan is paid.

4. Subscriptions and payment

  • Prices are shown on the pricing page in USD and UGX and are payable in advance for each month or year.
  • A plan is activated only after the payment has been confirmed by the payment provider or by us.
  • Upgrades start once paid, with credit for unused days of the previous plan. Downgrades take effect at the next renewal.
  • If a renewal is not paid, you have a grace period; after that the account becomes read-only.
  • We may change prices with at least 30 days' notice before your next renewal.

5. Cancellation

You can cancel at any time in Plan & billing. You keep access until the end of the paid period. Payments already made are not refunded except where the law requires it or we agree otherwise.

6. Your data

Your organisation's records belong to your organisation. You can export them at any time, including in read-only mode. We do not delete records because a subscription ends; you can ask us to delete your organisation's account and records.

7. Acceptable use

Do not use SmartLedger for unlawful purposes, to store data you have no right to hold, or to attempt to access another organisation's data or interfere with the service. We may suspend an account that breaks these terms or puts other customers at risk, and will tell you why.

8. Your responsibilities

SmartLedger helps you keep accounts, calculate payroll and prepare reports. You remain responsible for the accuracy of what you enter, for checking statutory rates and returns before filing, and for your organisation's compliance with tax, donor and regulatory requirements.

9. Availability and liability

We work to keep SmartLedger available and backed up, but cannot promise uninterrupted service. To the extent the law allows, our total liability for any claim is limited to the fees you paid in the 12 months before the claim, and we are not liable for indirect losses.

10. Law

These terms are governed by the laws of Uganda.
